Userful Manual
OPENING
Lights, location of
- Turn on all lights:
- Children’s Room switches are to the right of the back door
- Mezzanine switches are near each doorway to this area
- Stairway switches are in the hallway leading to the meeting room
- Fiction/Circulation Room switches are located between the stairway and the Magazine Room
- Office switches are to the right of the office door, outside of the office
- Magazine Room switches are in the room just above the wooden magazine holder
- Non-Fiction Room switches are to the left of the doorway, inside the room
- Elevator switches are to the right of the Elevator on the bottom floor
Heat
- Check and adjust Heat/Air-Conditioning – the thermostat is downstairs on the pillar next to the Express computer
Computers
- Turn on the four Staff computers (3 at Circulation desk, one in Office), and:
- Open WorkFlows and Firefo
- On computer #3 only:
- open the Public Access Signup sheet
- log into the SSPL Bulletin Board
- Turn on the Express computers (one is on the Mezzanine, one is beside the Fiction stacks)
- Turn on the Children’s Computer (in the Children’s Room)
- Check the Date stampers for correct dates (1-week and 3-week loan periods)
- Check the work schedule for the day’s Person-in-Charge
- Check the Circulation Desk for additional notes
- Switch on the Open sign in the window
- Switch on the People Counter (located beside the Staff Message Board)
- Unlock the front door
Photocopier
- Turn on the Photocopier
Staff message Board
- Check the Staff Message Board in the office for important notes and information updates
Book Drop
- Check-in all items in the Book Drop (newspapers are not checked in)
CLOSING
15 minutes before closing
- Stack all filled blue bins, bagged items (weeds, donations) for delivery to HQ on rolling cart and send upstairs in the elevator
- Add up total public computer usage hours and save the Public Access Signup sheet
- Shut down Staff computers #1 & #3 and the staff computer in the office
- Set the Table Calendar for the next work day: Mark sections for Reference questions, Phone Reference questions, Uncatalogued Items, Fines and Fees – also make a note with the new due dates.
- Give a 10-minute warning to Public Access Terminal users (the Userful* terminals shut down automatically 5 minutes before closing), making sure to mention that any needed printing should be done at this time
- Give a 15-minute warning to other patrons
- Adjust thermostat for Heat or A/C setting
At closing
- Record the number from the people counter on the sheet next to it and then turn off the counter
- Change the date stampers to the due dates needed for the next work day (check for closed dates)
- Turn off the photocopier
- Shut down staff computer #2 and the Express computers
- Get any items in the book drop and place them on the Returns counter, making sure to close the lid of the book drop afterwards
- Turn off the Open sign
- Lock the front door and turn off the heater in the vestibule
- Check all rooms (including closets and washrooms) to make sure there are no patrons left in the building
- Turn off all lights on the main floor
- Take the blue bins and other items from the rolling cart in the elevator and stack them on the metal shelf by the back door for pick-up – leave the cart and elevator upstairs for the next morning’s delivery
- Make sure the back door is closed properly (it locks automatically)
DAILY OPERATIONS
Checkins
- Check-in items returned by patrons, from the book drop, and from HQ deliveries
- Place checked-in items onto the two book carts in the Circulation area, sorted as follows:
- Right-hand cart: ANF, AF, YP, LP, APB, AMAGS, AAUD, DVDs, VHS, Nova Scotiana, REF
- Left-hand cart: JNF, JF, JPB, JMAGS, JAAUD, JDVDs, JVHS tapes, JREF (once filled, this cart is sent upstairs in the elevator for shelving)
E-Mail and Bulletin Board
- Check individual staff email, minimum of twice daily
- Check the SSPL Bulletin Board (logged in as yourself), minimum of twice daily
- Check the Branch email account, minimum of three times daily
Holds list
- Print SIRSI Holds List, locate items on shelves, Trap Holds and put items in transit to other branches (or on designated branch shelf for patrons to be notified). The list is sent to branches at 8 a.m., 1 p.m., 3 p.m. and 6 p.m.
Calling Patrons
- Call patrons with holds on items; on the hold slip, note the date and message code. If you cannot leave a message, call the patron again the next day. If calling patrons within the last hour before closing, date the hold slip for the following work day. Once the hold message has been delivered, place the item on the Holds shelf in the circulation area. Message codes are:
- mm = message left on machine
- msg = message left with person other than patron
- √ = message delivered to patron
- n/a = no answer
- Check the Holds shelf for items that have not been picked up on time; cancel the overdue hold and deal with the item as indicated by system prompts.
Shelve
- Shelve returned items.
Tidy
- Shelf read.
- Remove outdated posters and announcements from the public and Library message boards.
WEEKLY OPERATIONS
Holds list cleanup
- Deal with items on SIRSI Holds List that have been on the list for one week:
- Place the item in Missing
- If hold was placed at a different branch, inform originating Branch by email
- As originating Branch: call the patron to see if they would like to request the item through ILL; if so, place the ILL request for the item
- If SSPL requires an additional copy of the Missing Item, post as a Request for Purchase on the SSPL Bulletin Board – include a reason, e.g. SSPL copy missing
Requesting supplies
- Request Supplies (by email) from Sandra Whitman/SSPL-HQ before Thursday
Weeding
- Weed shelves according to Branch schedule
- Weed magazines according to Branch schedule
- Weed newspapers (keep the 10 most recent copies)
MONTHLY OPERATIONS
Statistics
- Defrag staff computers
- Compile statistics and email to statistics@southshorepubliclibraries.ca by the 7th day of the month
Public access usage
- E-mail Excel spreadsheet for Public Access Usage (past month) to cpottie@southshorepubliclibraries.ca by the 5th of the month
Book displays
- Change book/item displays in consultation with Branch Coordinator
Money
- Roll coins for photocopier and send money to HQ in blue bin (record amount on slip, enclose with money and keep one copy for the branch)
- Roll coins for Laser Printer, Fines and Fees; place in blue bin for delivery to Lynn at HQ (record amount on slip, enclose with money and keep one copy for the branch)
- Roll donation money from Monkey Money Butler and place in blue bin for delivery to Lynn at HQ (record amount on slip, enclose with money and keep one copy for the branch)
BRANCH NOTES
Library operations
- In the small wicker basket beside staff computer #3 should be approximately 15 Visitor Signup paper slips and 10 paper slips with the wireless login information
- Bridgewater branch has a Nova Scotiana section (ANF, reference and circulating Items) which is located to the right of the photocopier in the non-fiction room. This collection has a distinct spine label and is not shelved with other ANF
- Deliveries from HQ are regularly scheduled on Tuesday, Wednesday, Thursday and Friday around 10 a.m. with the mail run from HQ. Blue bins, donations, weeds etc., are picked up at the same time. There are no scheduled deliveries on Saturday, Sunday or Monday. Branch Coordinators may conduct deliveries to/from HQ when it is deemed necessary
- 5 past issues of the Globe and Mail and the last 2 issues of the Bridgewater Bulletin are kept on a shelf in the circulation desk for patrons to request
- The parking space immediately outside the Back door is to be kept free as much as possible, as this is the building’s accessible entrance as well as the primary point for delivery/pickup from HQ. Also, parents with strollers use this entrance during Children’s programs
- If our website is down, the catalogue can be accessed directly by going to http://oneplace.library.ns.ca and clicking on South Shore Public Libraries
- If the wireless internet connection goes down, unplug the wireless router (found on the top of the holds shelf) for approximately 15 seconds and then plug it back in. Wait until the WLAN light is on and then users may attempt to reconnect to the internet. If there continues to be a problem, contact HQ
- The Staff Message Board is in the office just to the right of the door. All notes to staff, updates, work schedules, weeding checklists, etc. are posted here. It also has ******* a calendar for booking the Meeting Room
Computers and Equipment
- The Public Access terminals will switch on and off automatically at preset times
- The laser printer is left on
- A fax machine is available for staff use only in the meeting room
Phone Lines
- Outside of open hours, calls from patrons are not usually answered - check the Caller ID, and answer the phone if the call is from an SSPL location. There are two lines available, 543-9222 and 543-0434. Phone calls may be transferred between floors by entering Hold+IC+1 or 2 (for desired floor level)
- Voicemail is managed by the Branch Coordinator
- There is a contact list next to the phone
- Be Well Connected is a dedicated phone line (hours of operation: Tues.-Sat., 9:00 -11:00 a.m.) with a distinctive ring tone and a separate answering machine. Only trained staff should answer this phone line or deal with any messages. For those staff, there is a logbook next to the phone to record call details

- First Aid kit is located on the bottom shelf of the Returns counter

Physical operations
- A key is required to unlock the front door
- The lights in the fiction/circulation room are slow to brighten and will take approximately 5 minutes to brighten to full strength
- The meeting room has a delay in heating up, so the thermostat needs to be turned up a few extra degrees when the room is booked - check the calendar on the staff message board for bookings
- The elevator is operated using a key, and the key must be held in the Up or Down position until the elevator has fully stopped. The key is on a hook below staff computer #1

- In winter, check access to the front and back doors. Front steps may need to be shoveled off/salted to ensure safety. A shovel is by the back door
- Parking is available in the lot behind the library – the spaces are not reserved/allocated, even though they are marked as such

Userful Manual
- This is the Public Access computer system in Bridgewater branch and designated C@P site
- There are 6 terminals connected to a single CPU. The system cannot be reset or switched off without all the terminals being affected.
- Userful icons are unique to the system, so may not be immediately recognizable. Desktop icons show all the programs available, and they correspond to commonly used programs for Internet, Word processing, Messenger, etc.
- 30-minute sessions are preset. Users will be automatically logged out every 30 minutes from starting a session. Work may only be saved within a session. Once the session has ended and the User has been logged out, nothing will be saved
- Icons at the bottom right-hand of the toolbar display time used and remaining. Extra time can be allotted if required. This has to be requested in advance, and set up from the terminal itself by staff
- Type ***** for login to Administrator mode. ***** Input additional time required. ****** Remote access from Staff Terminals is non-functional at this time
- USB ports for headphone and jump drives (memory sticks, flash drives, and USB drives) are located on the keyboard. All keyboard ports are not functional. Some ports, though functional, will not recognize certain types of jump drives. 4-port hubs are available if needed
- Userful can only save work on a jump drive. Another option is for patrons to email documents to themselves. (Only the lower level Express Terminal has a CD slot)
- To print: Most documents/photographs/forms have to be saved to the desktop or to the word processing program before they can be printed. To cancel/pause the print job, access the printer through staff terminal #2 only
- The Userful system is set to switch itself off and on at a preset time every day
